After several rounds of discussions and adjustments, the full-year plan was finally finalized. Each department had to announce its strategic direction at the staff meeting. I was tired of traveling, so I asked my colleagues to help me make a draft first. I finally received the file late at night. When I looked at it, I let out a long sigh.

I only have ten minutes to report, and it is likely that the time will be shortened due to a timeout earlier. Therefore, I only need about five pages - one page is the report card of 2017, one page is the highlights of 2017, and the remaining three pages are to specifically present the goals, strategies and plans for 2018.

But I received a 20-page Presentation. The dense text was mixed with numbers and complete charts. It was another tragedy of using PowerPoint as Word.

In the workplace, PowerPoint produced by Microsoft is a very commonly used tool, but there are many examples of poor use. Although they are all PowerPoint, the Presentation Deck, Review Deck and Reading Deck are really very different.

The protagonist of Presentation Deck is the Presenter, and Deck is just an auxiliary tool.

Therefore, we often use large font flow (Takahashi flow) and large images. The focus is to help the presenter tell the story well. There are many great examples on TED Talks, which are excellent reference examples.

The protagonist of the Review Deck is the content, in other words, the Presenter is secondary. Well, this is the most commonly used presentation type in companies.

The key point of the Review Deck is to have clear logic and organization.

You should make good use of various charts to explain, such as line charts for trends, pie charts for market share, etc. You should make good use of different charts to explain, so that everyone can understand it at a glance. For example: indicator comparison, regional comparison, etc.

In addition, your title should be sharp and not confusing. Not only state the facts, but also add the reasons behind the facts to show your grasp of the market.

The key to making a Review Deck is to straighten out the logic, use charts to help illustrate within a specific framework, and use text to help explain. During the process, it must be refined again and again, eliminating the unnecessary and retaining the essential, and “making” the rhythm of the story; when the briefer comes to the stage to report, it can be further elaborated and developed.

The Review Deck is like a dragon. You must draw the dragon well so that the attendees look forward to you coming on stage to add the finishing touch.

Reading Deck should allow the content to tell its own story even without a Presenter.

Not only are charts indispensable, we must also mark the key points in the charts - the text cannot just be a concise title, but must use columns to tell the story clearly.

If we say that Word files are a TV series, then PowerPoint’s Reading Deck is a movie! When watching a movie, we are always reluctant to blink, so the content of the briefing must adhere to the principle of condensation and refinement, without any delay.

To decide what kind of deck you want to create, please first ask yourself the following “five questions”:

  • On what occasion do you want to see the briefing?

  • Who do you want to see the briefing for?

  • What kind of briefing do you want to see?

*How much time is given for the briefing?

  • What is the purpose of the briefing?

The only secret to a good presentation is “three more”:

  • Think more, review the logical framework again and again, and refine the story again and again.

  • Ask for advice and discuss with bosses, colleagues and mentors.

  • Practice more and practice repeatedly to become proficient.

As long as you are in the workplace, you will definitely not be able to escape the day of giving a presentation at work, but there is a lot of knowledge in how to turn each presentation into a stage for you to express yourself, and then let the PowerPoint Deck become the spotlight on you! Please everyone must understand the five questions and the three mores, otherwise… the bullets that hit you will be bullets!
